What the tools do for you.
Hide Names from artificial intelligence
Draft a letter about a grievance, an absence or a reference with help from any artificial intelligence, without giving it the employee’s name, phone number, identity number or pay. The real details go back into the artificial intelligence’s reply on your device.
Redaction Studio and file tools
When an employee asks for a copy of the data you hold about them, black out other people’s names and details before it goes out, and keep the checking report with the file.
Is It Really Blacked Out?
Check a blacked-out file before you send it, for words still sitting under the boxes.
What Not to Paste into artificial intelligence
Before a CV, an appraisal or a spreadsheet goes into any artificial intelligence, see which names and numbers are in it.
Staff artificial intelligence card
A one-page set of rules for everyone in the company who uses artificial intelligence on work information.
What staff paste into artificial intelligence
Six surveys on what staff share with artificial intelligence tools, who paid for each, and four things to do this week.
Two things to tell staff this week.
Most of them use artificial intelligence tools you never approved.
In a survey for Okta, 90% of executives were confident they could see which artificial intelligence tools their staff used, while 52% of office workers said they used tools their employer had never approved, and 16% had given an artificial intelligence tool their login details. Give staff a safe way to use artificial intelligence rather than a ban they will work around.
Apprize360 for Okta, 292 executives and 492 office workers in the United States, United Kingdom, Australia, Canada, Japan, France and Germany, March 2026. Okta sells tools that control access to company systems. Read the report
Never lend a login or a work profile.
An online course sold in 2026 teaches sales agencies to rent people’s LinkedIn profiles for about $100 a month and send messages from them, so strangers appear to work for your company and write in your employee’s name. Add one line to your rules: never lend your work email, artificial intelligence account or professional profile, even for money. The staff artificial intelligence card now says it.
What they cannot do.
- Employment and data protection law come first. These tools make mistakes less likely. Your policies and your data protection lead decide what is allowed.
- A description can identify someone without a name. “The only night-shift supervisor in the Leeds office” still points to one person. Read what is left before you paste it.
- Blacking out a copy does not delete the original. Keep only the copies you need, for as long as you need them.
- Health information needs extra care. Sick notes and occupational health reports are among the most sensitive records you hold.
Check it yourself
Turn the internet off, then use any tool.
Every tool runs on your own phone or computer, and each page tells your browser it may not send anything anywhere. Your information technology team can check that with the browser’s own network panel, and we will send them what they need. You can use every tool without filling in a form.
